Sometimes more information about a candidate is needed to decide if they are the right person for the position. Does the candidate need to show some form of certification? Have they forgotten to submit their CV? It's easily fixed!
If you want a candidate to supplement their application with documents, you can request them via a supplement request.
A supplement request is easily done through an event. What is needed for this to work?
The event must be set up on your account.
You as a user need the right to use events.
If the event doesn't exist or you lack the access right, contact an internal administrator for assistance!
Request the Supplement
How do you then send out the request for supplements? Well!
Start by going to the list of applications and mark the candidates you want to send in supplementary files.
Select the event for supplementation (the name of the event may vary depending on how it is set up. In the example below, we have named it "Request for supplement").
When you select the event, a box will appear on the screen displaying the message that will be visible to the candidate.
Typically, this event is already created on your account and is usually linked to a specific contact template.
A contact template can always be edited at this step, but it's important that the parameter %LINK% is included, otherwise, there will be nowhere for the candidate to upload their files! (More about parameters below)
When you are satisfied with how the message looks, click "Send".
Parameters
Parameters are tools that you can use in messages intended for candidates. A parameter retrieves information from the system, which partly means you don't have to input all the information manually, and you can send a message to multiple candidates at the same time, without having to enter their details by hand.
For example, the parameter %FIRSTNAME% fetches the first name of the candidate you wish to send the message to, based on what the candidate has written in their application, and will always send an individual email to each candidate. This means you can send personalized messages to several candidates simultaneously without any extra effort. Convenient, right? 😍
As we just mentioned above, the parameter named %LINK% must be included in the message. It is through this unique link, which the parameter retrieves, that the candidate’s files are uploaded.
Below you will also see an example of what a contact template for requesting supplementary files might look like!
When the candidate has supplemented their application and uploaded their files, they will receive a status reflecting this, named "Supplement Received". The files will then be found within the candidate's application, under the heading "Files".
