View a candidate's other job applications

Here's how you can see which other positions a candidate has applied for within your organisation.

This function allows you to view, in one place, information about the positions that a candidate has applied for within your organisation.

To access a candidate's other job applications, you need to:

  • Have the necessary permissions to access the case where the application is located.

  • Have the permission to view other applications.

    • The specific access right is: Recruitment - Other applications based on personal data - Grants the authority to see information about other applications to your organisation that the candidate has applied for, based on the same first and last name, email, and date of birth.

As described, this matches applications against the personal information that the candidate has provided in their application. This means that they need to be the same for the system to match them.

Note that this means if a candidate has applied using different personal information in two separate applications, the system will not match them!

To see a candidate's other jobb applications

So, how do you go about seeing what other positions a candidate has applied for? Well, you can do this in a few different ways! 😊

From the application list

In the application list, you can already see if there are candidates who have applied for other positions with you, by the presence of this symbol to the left in the list:

If you hover over the icon, a tooltip will be displayed: "See X other applications" based on the number of other applications that exist and to which you have access.

If you click on the icon, a menu will open showing an overview of the other applications:

When you click on the icon for other applications, you can see:

  • The reference number

  • Job title

  • Who is/was the responsible recruiter

  • Which part of your organisation it pertains to

  • When the application deadline was

  • The status of the candidate in the other case

If you click on "More" at the far right, you can bring up:

  • Attached files

  • Events

  • Contact log

  • Notes

What information you see when you click on β€œMore” depends on the permissions you have for the different recruitment cases and what interactions have taken place with the candidate. If no notes have been entered, that information will not be displayed regardless of your permission.

From a candidate's application

You can also access the same view when viewing a candidate's application!

Simply open the candidate's application from the application list and click on "See other applied-for positions". This will bring up the same view as described above!

Candidate search

There is also a feature on the account that allows you to search for candidates and view all their applications, and it is simply called "Candidate Search." Specific permissions are required for this feature as well.

You can find this option, if you have access to it, in the menu at the top left by clicking on "Recruitment" and then "Candidate Search".

This will bring up the view where you can search by:

  • First name

  • Last name

  • Date of birth

  • Email address

  • Phone number

If you want to search by name, we recommend searching for parts of the name and using *. This reduces the risk of typos or accidentally inserting spaces πŸ˜„

Example

Let's say we want to find all the applications submitted by a John Skanefors. In this case, we go to Candidate Search, and we've entered the candidate's first name, and we've got 1 hit!

By clicking on the arrow next to the name of the person whose results we want to see, we get a list of the positions that the candidate has applied for.

Each job title in the list is clickable, and when we click on the job title, we are taken directly to the application that the candidate has submitted for that case.

If we want to see a larger list, we click on "See other job applications" under the name, and if we want to export all or any of the applications, we select which applications we want to export and then click on "Export applications". It is possible to get both a Word document and a PDF!
