Faster than lightning? Communicate via SMS!

Do you want to reach your candidates before they even have time to say "dream job"? Using SMS in the recruitment process is like having a superpower – it’s personal, direct, and candidates love it. Here is your guide to mastering the SMS tool in the system!

Before you start (The checklist!)

In order to start using SMS you need to check off three simple things:

  • Mobile number: The candidate must have registered their number in their application.

  • User rights: You need the permission “Recruitment – SMS” located under the Candidate management category in the access rights.

  • Available credits: Ensure there is enough digital "fuel" in the account. Check under Admin -> Organisation -> Edit parent organisation and check the Credits tab.

How to send your SMS

Ready to hit send? Follow these steps:

  1. Navigate to the relevant Case.

  2. Select the candidate you wish to contact in the application list

  3. In the sub-menu, you’ll find the Contact option. Click it and select Contact candidate.

  4. In the contact window that opens, choose SMS as the contact type. Voilá!

Keep in mind: An SMS is like a short poem – maximum 160 characters. Writing more than that? It will be split into multiple messages and use more credits. Keep it short and sweet!

Interview Invitations via SMS

Even when booking interviews, you can send invitations via SMS instead of email. To send the invitation via SMS you do exaclt as you do when sending it via email - but set the contact type to SMS instead!

Important! Always make sure that the parameter "%INVITELINK%" is included in the SMS when inviting a candidate to an interview. Without it the booking link won't be included!

Stay organized with Communication templates

Under Admin -> Organisation -> Candidate contact, you can create and manage SMS template. By creating and using templates everyone won't have to create the SMS from scratch everytime they want to send an SMS, and will instead have templates to build on.

Templates will also help you keep a consistent and clear communicationstyle with your candidates!

  • Pro tip: Name your templates clearly, for example, "Invitation to interview (SMS)". This makes it much easier to distinguish between templates in the list 😄

Out of credits? Don’t panic!

If you can’t send a message, the credits might be depleted. If you have the rights, you can check the balance under the Credits tab. If the account is empty, contact your Customer Success Manager (CSM) for help refilling it.
